Haldimand Athletics Club (“HAC,” “we,” “us,” or “our”) respects your privacy. This policy explains how HAC handles personal information when you use our website, purchase a membership, book training, register for an event, contact us, or participate in an HAC activity.
1. Information we collect
Depending on how you interact with HAC, we may collect:
- contact and account information, including names, email addresses, phone numbers, and guardian details;
- participant information, including age group, hockey level, program interests, accessibility needs, and information voluntarily provided for safe participation;
- membership, booking, attendance, event registration, transaction, and payment-status information;
- privacy acknowledgements, waivers, electronic signatures, and photo/video preferences;
- communications with HAC and information submitted through website forms; and
- technical information such as device, browser, IP address, cookies, and site-usage data.
2. Why we use it
We use personal information to provide and administer memberships, bookings, programs, events, payments, customer support, safety and emergency response; communicate service information; maintain required business and legal records; prevent misuse; and understand and improve HAC services. Promotional communications are sent only as permitted by law and may be unsubscribed from at any time.
3. Consent and choices
We seek meaningful consent appropriate to the sensitivity of the information and the purpose. Information needed to administer a purchase, booking, safety requirement, or legal record is a condition of those services. Promotional photo and video consent is separate and optional. You may choose “I do not consent” without losing access to an HAC membership or booking.
4. Wix, payments, and service providers
HAC uses Wix to host the website and support forms, memberships, bookings, checkout, and related business functions. Payments are handled by Wix and its payment providers; HAC does not intentionally collect full payment-card numbers through this website. We may also use service providers for communications, analytics, professional advice, storage, and operational support. Providers receive only the information reasonably needed for their work and may process information outside Ontario or Canada, where it may be subject to local laws.
5. When we disclose information
We may disclose personal information to authorized HAC personnel, coaches, facilities, event partners, and service providers when necessary to deliver a program, protect health or safety, complete a transaction, comply with law, enforce an agreement, or investigate suspected misuse. HAC does not sell personal information.
6. Children and youth
A parent or legal guardian must provide required consents and sign legal acknowledgements for a participant who is not legally able to do so. We ask families to provide only information reasonably needed for registration, safety, and program delivery.
7. Safeguards and retention
We use reasonable administrative, technical, and physical safeguards appropriate to the information. No internet service can guarantee absolute security. We retain records only as long as reasonably required for the stated purposes, legal obligations, dispute resolution, safety, accounting, and legitimate business needs, then securely delete or anonymize them where practical.
8. Access, correction, and withdrawal
You may ask to access or correct personal information held by HAC, withdraw consent where consent is the legal basis, or change a photo/video preference. Withdrawal does not affect prior lawful processing and may not apply where retention is required by law or needed to administer an existing transaction. We may need to verify identity before acting on a request.
9. Cookies and analytics
Our site and Wix may use essential cookies for security, member sessions, checkout, booking, and site operation, plus analytics technologies that help us understand performance. Browser settings can control some cookies, although blocking essential cookies may prevent parts of the site from working.
